Privacy Policy
Kernel Command is built to help troop committees manage fundraiser inventory and sales. We take the privacy of troop members, parents, and especially the youth members who use the platform seriously.
Effective Date: January 1, 2025Overview
This Privacy Policy describes how Kernel Command ("we," "us," or "our") collects, uses, and shares information when you use our platform at kernelcommand.org and related services.
The short version: We collect only what's necessary to run a troop's fundraiser program. We don't sell your data. We don't advertise to you. And we treat information about youth members with extra care.
Information we collect
We collect information in the following ways:
Account information. When a troop committee sets up an account, we collect basic contact information — typically a name and email address for the administrator(s).
Troop and member information. Committees may enter information about their troop, including member names, parent or guardian contact details, and role assignments within the platform (e.g., committee member, parent, youth member). We collect this only as entered by your troop's administrator.
Inventory and sales data. We store the inventory records, checkout events, requests, and financial transaction data that your troop enters into the platform. This is the core operational data needed to provide the service.
Usage information. We collect standard technical information when you use the platform, including your IP address, browser type, and pages visited. This helps us understand how the product is being used and diagnose issues.
How we use it
We use the information we collect to:
- Operate and provide the Kernel Command platform to your troop
- Allow committee members, parents, and youth members to access the features relevant to their role
- Send transactional communications (e.g., account setup, password resets)
- Respond to support requests and questions
- Improve and develop the product, including analyzing how features are used
- Comply with legal obligations
We do not use your data to serve you advertising. We do not sell or rent your data to third parties.
Sharing & disclosure
We do not sell, trade, or rent personal information to outside parties. We may share information in the following limited circumstances:
Service providers. We work with third-party vendors who help us operate the platform — such as cloud hosting and infrastructure providers. These vendors access data only as necessary to provide their services and are bound by confidentiality obligations.
Within your troop. Committee administrators can see all data entered for their troop. Parents and members see only the data relevant to their own account and role, as configured by the committee.
Legal requirements. We may disclose information when required by law, court order, or to protect the safety of our users or the public.
Business transfers. In the event of a merger or acquisition, user data may be transferred as part of the transaction. We would notify affected users before any transfer occurs.
Children's privacy
We are aware that some users may be minors. Kernel Command accounts are created and managed by adult troop committee members or parents — not by youth members directly. Member information (such as a name associated with a checkout) is entered by adult administrators on their behalf.
We comply with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information directly from children under the age of 13. If a youth member is using the platform with a login, that access is set up and controlled by an adult administrator or parent.
If you believe we have inadvertently collected information from a child under 13 without parental authorization, please contact us and we will delete it promptly.
Data security
We implement reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse. This includes encryption of data in transit (HTTPS) and at rest, access controls limiting who within our team can access troop data, and regular review of security practices.
No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we take reasonable precautions and take breach response seriously.
Data retention
We retain troop data for as long as an account is active. If a troop cancels its subscription or requests deletion, we will delete or anonymize the associated data within 90 days, except where we are legally required to retain it longer.
During the early access period, data retention terms may be further discussed directly with participating troops.
Your rights
Depending on your location, you may have certain rights regarding your personal information, including the right to access, correct, or delete the information we hold about you.
Troop administrators can update or remove information about their troop's members directly within the platform. For requests that require our assistance — including account deletion — please contact us at the address below.
Cookies
We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the platform is used. We use only the cookies necessary to operate the service — we do not use advertising or tracking cookies.
You can configure your browser to refuse cookies, but some parts of the platform may not function correctly if you do.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify active account holders by email and update the effective date at the top of this page. Continued use of the platform after a change constitutes your acceptance of the updated policy.
